    Purpose of the Driver/Messenger Role

    As a Driver/Messenger at the Road Accident Fund, you will be responsible for safely transporting people, documents, and goods between specified locations. Your role requires adherence to strict road safety rules and regulations, as well as maintaining and reporting on the condition of the vehicle used for these tasks. The incumbent will also need to follow work schedules closely, ensuring timely deliveries and accurate reporting of any issues encountered.

    Key Responsibilities

    1. Messenger Services

    As a key component of the position, the following tasks fall under messenger services:

    • Collecting and Delivering Correspondence:
      You will collect official documents and packages from various government institutions, verifying them before collection and ensuring they are handled with care.
    • Delivery Management:
      It will be your responsibility to deliver packages or messages on time, maintain communication with both points of departure and destination, and ensure receipts or signatures are obtained for all deliveries.
    • Record Keeping:
      Maintain a logbook for daily deliveries and reconcile packages upon delivery to ensure accuracy.
    • Efficient Routing:
      Prior to each delivery, plan the most efficient route to ensure timely completion of tasks and confirm all deliveries by checking in with the office after each drop-off.
    • Compliance:
      Make sure all deliveries are handled in line with the RAF’s Standard Operating Procedures (SOPs) and that documents are delivered to document services for distribution.

    2. Administrative Support

    Your role goes beyond driving and delivering. You’ll also contribute to administrative functions, including:

    • Monitoring and Executing Copying/Binder Requests:
      Ensure that requests for document copying and binding are handled efficiently.
    • Archiving and Record Management:
      You will assist in maintaining an updated inventory of departmental records and archive scanned documents according to the National Archives Act and RAF strategies. This includes ensuring proper sorting, filing, and tracking of records, and preparing records for transfer to off-site storage.
    • Postal Services Management:
      Ensure that the branch’s postal service operates efficiently, and handle the dispatch and reception of mail.

    3. Transportation Services

    As a driver, you will:

    • Secure Transport of People and Goods:
      Safely transport people, goods, or materials to assigned locations. You’ll load and unload merchandise securely, and be attentive to both electrical and mechanical vehicle issues, reporting them promptly to the Facilities Manager.
    • Vehicle and Equipment Maintenance:
      Conduct daily pre-trip and post-trip inspections to ensure vehicles are in safe, working condition.

    4. Reporting

    This role also includes reporting responsibilities:

    • Vehicle and Equipment Defects:
      Report any defects, accidents, traffic violations, or damages to the vehicle or loss of equipment immediately.
    • Log Books and Fleet Management:
      Keep log books up to date and aligned with the Fleet Management Policy.
    • Unexpected Delays and Equipment Maintenance:
      Report any delays or faults requiring service provider attention to your supervisor promptly.

    5. Mail Processing

    As part of the mail-processing responsibilities, you will:

    • Incoming and Outgoing Correspondence:
      Register and process incoming and outgoing mail, ensuring that all documents are filed according to established policies.
    • Outgoing Mail Preparation:
      You’ll prepare outgoing mail, ensuring that addresses are checked for accuracy, and handle registered and bulk mailings efficiently.

    Requirements

    • Education: A Matric or Grade 12 Certificate is required.
    • Licenses: You must hold a valid Code 10 (EC1/EC) driver’s license as well as a Professional Driver’s Permit.
    • Experience: A minimum of one year’s experience in a driving or messenger services environment is necessary.
