    Customer Services Officer Role Overview

    As a Customer Services Officer, the primary responsibility is to serve as a key point of communication between customers, operational teams, and business partners. The CSO will play a vital role in ensuring that all customer service functions are handled proactively and efficiently, with a focus on maintaining high service standards and delivering consistent results.     Key Responsibilities

    The successful candidates will have a wide array of responsibilities, including:

    Order Management

    • Ensuring that all orders received by 15h30 are processed and captured on the same day, with late orders handled the following day.
    • Managing special requests, order rejections, and ensuring all orders are saved and refreshed in the SAP system.
    • Allocating orders for delivery to the designated days and ensuring pallet configurations are managed efficiently.
    • Liaising with relevant teams to resolve any order-related issues, such as EDI rejections or late bookings.

    Query Management

    • Responding to customer queries (via email or phone) promptly, ensuring all communications are clear and handled within the same working day.
    • Maintaining communication with customers regarding pending feedback or resolution.

    Stock and Pricing Management

    • Managing cut authorization processes and stock availability, ensuring urgent deliveries are coordinated when necessary.
    • Escalating any price variances between SAP and customer orders to the relevant stakeholders.

    Reporting and Administration

    • Managing various reports, including daily order analysis, strike rate reports, and weekly customer-specific reports.
    • Providing key feedback to stakeholders and assisting with the management of order returns in conjunction with the GRA department.

    Customer Relationship Management

    • Building and maintaining strong relationships with internal and external customers, ensuring a professional, efficient approach to customer service.
    • Handling all customer complaints effectively, addressing issues in a timely and professional manner.

    Ad-Hoc Duties

    • Proactively addressing potential issues and communicating efficiently with relevant teams to resolve any challenges.
    • Tracking orders as requested by customers and ensuring all related concerns are addressed promptly.

    Qualifications and Experience

    To be considered for this role, applicants must meet the following qualifications and experience criteria:

    • Matric Certificate: A minimum educational qualification is required.
    • 2-3 Years of Customer Service Officer Experience: Experience in warehousing/logistics or a similar customer service role in a fast-paced environment is essential.
    • SAP Proficiency: A strong understanding of SAP systems, Excel, and Word is required for efficient data management and communication.
