The Role: Administration Assistant
This pivotal role is essential to the effective operation of Faircape Health Tokai Estate, acting as the bridge between clinical coordination and administrative efficiency. The Administration Assistant will directly support the Clinical Manager and work alongside a multidisciplinary team (MDT) to ensure that all administrative functions run smoothly, thus contributing to the facility’s core mission of restoring patients to independence and wellness.

Key Responsibilities
1. Telephonic & Email Enquiries
One of the Administration Assistant’s primary responsibilities is to serve as the first point of contact for all subacute and long-term care enquiries. This includes:
- Providing accurate information about admission criteria, services offered, patient suitability, and availability.
- Following up on enquiries and maintaining a clear communication log to ensure prospective admissions are handled effectively.
- Ensuring that urgent matters are prioritized and promptly brought to the attention of the Clinical Manager.
2. Facility Tours
The Administration Assistant will also be responsible for scheduling and conducting professional, informative tours of the Tokai Estate healthcare facility. These tours are an essential aspect of the patient intake process, as they allow families, patients, and referring clinicians to get a firsthand look at the rehabilitation programs and the support offered within the facility. Key duties in this area include:
- Conducting tours that highlight the unique features of the facility, including rehabilitation programs, living environment, and multidisciplinary support.
- Following up with prospective patients and their families after tours to assist in the decision-making process.
3. Report Management
A significant part of the Administration Assistant’s role will be managing patient-related reports. This includes:
- Collating and reviewing incident reports from Tokai Estate patients, ensuring they are submitted by allied health professionals in a timely manner.
- Forwarding completed reports to the Clinical Manager for review and further action.
- Overseeing reports from all the villages within the Southern Suburbs and uploading them to Monday.com for visibility and tracking.
- Reviewing reports that require sign-off from the Clinical Manager, such as incident reports, long-term reports, and day pass requests.
4. General Administrative Support
In addition to the specific tasks above, the Administration Assistant will be responsible for general administrative duties that help the team maintain a smooth workflow. This includes managing schedules, handling correspondence, and ensuring that the clinical team has the support needed to provide excellent care.
