    Procurement Administrator Position Details

    Purpose of the Role

    The main goal of this position is to efficiently and effectively support the finance unit with basic administration tasks, ensuring smooth and streamlined procurement processes.

    Requirements and Competencies

    • Educational Qualification: 1-year certificate in Administration, Accounting, Procurement/Supply Chain Management, Logistics, or a related field.
    • Experience: At least 1 year of experience in Basic Supply Chain Management.
    • Skills: Administrative skills, liaison, invoicing system, database administration, communication (verbal & written), and information monitoring.

    Key Responsibilities

    • Authorize Purchase Requisitions: Assist in authorizing purchase requisitions with the relevant budget attached.
    • Request for Quotation: Place requests for quotations from identified suppliers on the Central Supplier Database on a rotational basis.
    • Quotation Submission: Assist in requesting quotations and submitting them to the end-user to select the most suitable supplier.
    • Supplier Sourcing: Source relevant suppliers when not available in the database or lacking required resources.
    • Supplier Evaluations: Conduct supplier evaluations, due diligence, and risk assessments to mitigate potential supply chain disruptions.
    • Supplier Selection: Facilitate evaluations to select a suitable supplier from the quotations received.
    • Purchase Order Creation: Create a purchase order to confirm the agreement for the services and/or goods to be procured.
    • Supplier Notification: Notify the selected supplier and liaise with them to determine the delivery timeframe.
    • Order Status Communication: Communicate the status of orders to the end-user.
    • Policy Adherence: Adhere to applicable policies, procedures, and legislation in procuring goods and services under the supervisor’s guidance.
    • Stakeholder Relationships: Assist procurement officers in maintaining relationships with key stakeholders.
    • Workload Management: Provide support to procurement officers in managing workloads.
    • Policy Update Contribution: Contribute to updating procurement policies, procedures, and work practices.
    • Secretariat Services: Assist in providing secretariat services to the procurement committees.
    • Customer Communication: Communicate with external and internal customers regarding procurement matters.
    • Achievement Contribution: Contribute towards ensuring on-time delivery, contractual obligations, technical requirements, and quality.

    General Administration

    • Documentation Management: Obtain and file all relevant Supply Chain Management (SCM) documentation and archive files to offsite storage.
    • Policy Adherence: Adhere to SCM and finance policies.
