    Secretary Position Overview

    • Position: Secretary/ Admin Clerk: Internal Audit and Fleet Development & Provisioning (One-year contract)
    • Salary Package: R 216,417 per annum (Level 5), plus 37% in lieu of benefits
    • Location: Transport, East London

    Requirements

    • Educational Qualification: National Senior Certificate or equivalent (NQF Level 4).
    • Work Experience: Minimum of one (1) year relevant experience as a secretary, or in Office Management/Administration. Additional experience will be advantageous.
    • Driver’s License: Essential to have a valid Code 08 driving license.

    Duties and Responsibilities

    • Provide general administrative support to the Internal Audit and Fleet Development & Provisioning divisions.
    • Prepare and manage correspondence, reports, and documents.
    • Maintain filing systems and ensure that records are kept up to date and accessible.
    • Schedule and coordinate meetings, appointments, and travel arrangements for department staff.
    • Prepare agendas and take minutes of meetings, ensuring accurate documentation.
    • Handle incoming and outgoing mail, emails, and telephone calls.
    • Ensure timely and effective communication within the department and with external stakeholders.
    • Assist in the preparation of presentations, spreadsheets, and other documents as required.
    • Ensure that all documents are formatted and presented professionally.
    • Enter, update, and retrieve data from the department’s databases.
    • Maintain accurate records and ensure data integrity.
    • Assist in the management and provisioning of the department’s fleet.
    • Coordinate vehicle maintenance schedules and ensure compliance with regulations.
    • Provide support to the Internal Audit team by organizing and maintaining audit files.
    • Assist in the preparation of audit reports and documentation.
