    Receptionist Job Description

    As a Receptionist (Reservations) in the Residence and Catering Services division, you will play a crucial role in managing bookings, financial transactions, and customer service. This position offers an opportunity for individuals who thrive in a fast-paced environment and have a passion for hospitality and administrative tasks.

    Key Responsibilities

    1. Bookings and Operations of System (HotSoft):

    • Manage guest bookings and ensure the smooth check-in and check-out process.
    • Collect payments from guests and process financial transactions, including cash and card payments.
    • Maintain the accuracy of room assignments and ensure room cards are returned by guests.
    • Provide assistance with guest queries and communicate effectively through telephone etiquette.

    2. Administration and Financial Control:

    • Balance daily cash and card payments.
    • Maintain strict adherence to audit guidelines and ensure accurate filing of reception documents according to the File Plan.
    • Correspond with guests and assist with inquiries regarding reservations and services.

    3. Staff Control and Training:

    • Assist in training new in-house staff and help with orientation when needed.
    • Provide relief services and assist with various ad-hoc tasks as required.

    4. Personal Development:

    • Stay updated with new ideas and developments within the hospitality and reception field.
    • Participate in relevant training courses and professional development activities.

    Key Functional/Technical Competencies

    • Experience: At least 1 year of experience in administrative management, particularly in a hospitality reception role.
    • Reservation System Knowledge: Minimum 1 year of experience with hotel reservations systems (HotSoft preferred).
    • Technical Skills: Must be computer literate in MS Office, email, and the internet.
    • Telephone Etiquette: Must have experience handling telephone systems and demonstrate professional telephone communication.
    • Shift Work: Must be willing to work shifts and weekends as required.
    • Financial Management: Experience in handling cash, credit/debit card transactions, and managing debtor-related activities.

    Key Behavioral Competencies:

    • Customer Service: Must have a positive customer service attitude and the ability to remain calm under pressure.
    • Communication: Effective communication skills, particularly in a multicultural environment.
