Minimum Requirements
Candidates must meet the following qualifications and experience requirements:
- Educational Qualification: Grade 12/Matric or NCV-NQF Level 4.
- Additional Qualification: A relevant N6 Certificate or Equivalent in Management Assistant or a related qualification.
- Experience: At least one year to 18 months of relevant working experience in data capturing.
- Skills: Computer literacy is mandatory.
Recommendations
The ideal candidate would benefit from having:
- A three-year recognised National Diploma in Management Assistant or an equivalent qualification.
- Prior experience working as a data capturer within the TVET sector.
- Knowledge of data capturing processes.
- Understanding of Information Management and IT principles.

Key Responsibilities
The Data Capturer will be responsible for ensuring accurate and efficient data entry within the institution. Specific duties include:
1. Data Capturing and Record-Keeping
- Capture data from available records into relevant formats such as systems, databases, tables, and spreadsheets.
- Input student registration details, process payments, and issue student numbers.
- Enter ICASS, ISAT, and Written Exam marks into the system.
- Capture enrolment forms during the registration period.
- Submit captured marks to the EMIS Officer.
2. Managing Student Data
- Record and track student absentees on the system.
- Keep a record of all received and outstanding student attendance registers and assessment mark sheets.
- Ensure that all attendance registers from the Heads of Department (HODs) are properly filed.
3. Data Integrity and Validation
- Verify and query missing data and errors observed during data entry.
- Maintain the integrity and accuracy of captured data.
- Review and validate data from records before submission.
4. Academic Records Management
- Complete mark sheets and prepare copies for use as attendance registers during exam sessions.
- Receive marks from HODs and mark sheets from the Department of Higher Education and Training (DHET).
- Update student registers and statistics.
- Submit mark sheets to lecturers in marking venues (internal marking process).
- Retrieve student ISAT marks and evidence from previous years.
- Assist NCV lecturers with Portfolio of Evidence (POE) filing and safeguarding.
5. Student Support and Document Processing
- Issue proof of registration, student cards, statements of results, and certificates.
- Retrieve student ISAT marks and relevant evidence.
- Support NCV Lecturers in maintaining and organising records.
6. Data Backup and Security
- Perform regular data backups to prevent loss of important information.
- Maintain and update system records consistently.
- Ensure that records and files are properly sorted and secured.
- File student records alphabetically for each registration period.
7. Communication and Reporting
- Provide information to various departments when required.
- Email schedules of results to Campus Heads, HODs, and Senior Lecturers.
- Retrieve results and ensure proper dissemination of information.
