    Secretary Vacancy Summary

    As the Secretary, your main responsibility will be to ensure the smooth functioning of the Manager Water Quality Specialist Services office. You will handle various secretarial tasks, maintain the department’s shared electronic records system, and assist in organizing departmental events and meetings.

    Minimum Requirements

    To be considered for this position, candidates must meet the following minimum requirements:

    • Education: NQF6 Diploma in Office Administration or Secretarial studies.
    • Experience: A minimum of 3 years, preferably 5 years, of experience in office administration or secretarial duties at a middle to senior management level.
    • Driver’s License: A valid driver’s license is required, and candidates will need to pass a Rand Water proficiency driving test.
    • Communication Skills: Strong English communication skills (both verbal and written) are essential.
    • Technical Skills: Proficiency in Advanced Word, Excel, PowerPoint, Adobe, and Outlook software.
    • Records Management: Experience in maintaining a shared electronic records system.

    Responsibilities

    As the Secretary, your duties will include but are not limited to:

    • Secretarial Services: Provide comprehensive secretarial support to the department manager, including managing the diary and coordinating departmental communications.
    • Administrative Assistance: Offer administrative services to the manager’s office and the department management committee, ensuring that all tasks are completed accurately and on time.
    • Records Management: Maintain the department’s shared electronic records system, ensuring that all files are up-to-date and accessible.
    • Event and Meeting Planning: Organize and plan department events and meetings, ensuring that all logistical arrangements are in place.
    • Minute Taking: Accurately draft minutes or notes during physical meetings and from electronic recordings.
    • Document Management: Coordinate, collate, and manage the drafting of departmental reports, documents, memorandums, letters, presentations, and other important paperwork.
    • Quality Control: Ensure all department documents are accurate, presentable, and comply with corporate standards.
    • Stakeholder Relations: Maintain positive relationships with internal and external stakeholders, acting as a liaison between the department and other parties.
    • Task Follow-Up: Monitor and follow up on actions and tasks arising from meetings.
    • Asset Management: Handle the stock-take and safe-keeping of departmental assets.
    • Filing: Responsible for filing the departmental attendance register, timesheets, travel claims, and leave schedules.
    • Research: Conduct research to find relevant information for the department management team.
    • Reception Management: Manage the reception desk and handle the department manager’s phone line.
