    Responsibilities

    In this role, you will be at the heart of the Finance division’s operations, providing essential support that enables the Executive Manager and the team to function effectively. Here is a more detailed look at your key responsibilities:

    1. Drafting Administrative Correspondence and Minutes

    • Prepare and draft various forms of administrative correspondence, ensuring all communications are clear and professional.
    • Take accurate minutes during meetings and distribute them promptly to relevant stakeholders.

    2. Deadline Management

    • Keep track of important deadlines and follow-up dates, ensuring that all tasks and projects are completed on time.
    • Propose new deadlines as necessary and monitor progress to ensure compliance.

    3. Meeting Coordination

    • Screen incoming meeting requests and prioritize them based on importance and urgency.
    • Organize and schedule meetings, ensuring that all logistical arrangements are in place.
    • Manage travel arrangements for the Executive Manager and other staff as needed.

    4. Budget Assistance

    • Assist in the preparation and monitoring of the division’s budget.
    • Help draft contracts and manage acquisition orders to ensure all financial operations run smoothly.

    5. Inter-department Liaison

    • Act as a point of contact between the Finance division and other departments within HWSETA.
    • Communicate effectively to relay important information and coordinate activities.

    6. Business Correspondence

    • Write and respond to business or technical letters, ensuring clarity and professionalism in all communications.
    • Handle other similar correspondence as required, maintaining a high standard of accuracy and efficiency.

    7. Verbatim Reporting

    • Use shorthand or specialized office equipment to prepare verbatim reports of proceedings in legislative assemblies, courts of law, or other formal settings.
    • Ensure these reports are accurate and complete, providing a reliable record of events.

    8. Supervision

    • Oversee the work of clerical support workers, ensuring that all administrative tasks are completed accurately and efficiently.
    • Provide guidance and support to clerical staff, fostering a productive and positive work environment.

    Requirements

    • Minimum Qualification: National diploma in Office Administration and/or Post Matric Secretarial Certificate.
    • Minimum Experience: 3-5 years of Secretarial experience.
