    Job Purpose:

    • To provide comprehensive administrative support for skills development initiatives within the unit, ensuring effective and efficient management of all related functions.

    Minimum Requirements:

    • Qualification:
      • An appropriate 3-year tertiary qualification (National Diploma, Bachelor’s Degree, or higher).
    • Experience:
      • A minimum of 1 year of relevant experience in Skills Development.

    Key Performance Areas:

    • Administrative Assistance:
      • Facilitate comprehensive administrative support for the Skills Development Unit, including managing correspondence, scheduling meetings, and maintaining records.
      • Ensure that all administrative processes align with departmental policies and procedures.
      • Prepare and distribute agendas, minutes, and reports for meetings within the unit.
    • Stakeholder Liaison:
      • Liaise with internal and external stakeholders, role players, and clients to ensure smooth communication and collaboration.
      • Coordinate meetings and consultations with various stakeholders, including governmental departments, training providers, and community organizations.
      • Handle inquiries and requests from stakeholders promptly and professionally.
    • Recruitment and Selection:
      • Provide administrative support for recruitment and selection processes, including drafting job advertisements, scheduling interviews, and communicating with applicants.
      • Assist in the preparation and documentation of recruitment panels and ensure that all recruitment procedures comply with legal and departmental guidelines.
      • Maintain accurate records of all recruitment activities and outcomes.
    • Financial Administration:
      • Offer detailed financial administrative support to the Skills Development Unit, including processing payments, monitoring budgets, and preparing financial reports.
      • Assist in the management of the unit’s budget by tracking expenses, ensuring proper allocation of funds, and identifying areas for cost savings.
      • Ensure compliance with financial policies and regulations, including proper documentation of all financial transactions.
    • Supervision:
      • Oversee the performance of staff responsible for various unit functions, ensuring that tasks are completed efficiently and to a high standard.
      • Provide guidance and mentorship to junior staff, helping them develop their skills and enhance their performance.
      • Conduct regular performance reviews and provide feedback to staff, identifying areas for improvement and recognizing achievements.
    • Data Management and Reporting:
      • Manage and maintain comprehensive databases related to skills development programs, ensuring data accuracy and accessibility.
      • Compile and analyze data to produce regular reports on the progress and outcomes of skills development initiatives.
