Detailed Job Description
As a Travel Assistant at Ivanhoe Mines, your primary responsibility will be to coordinate and organise all travel requirements for the company’s expatriate workforce. You will provide travel advice, manage bookings through systems like Amadeus and MCM Travel, and ensure compliance with health, visa, and safety protocols.
You will also administer departure and arrival schedules, issue travel documents, and liaise with the central travel desk to deliver excellent service. Being culturally sensitive and adaptable to diverse travellers’ needs is crucial in this role.
Roles and Responsibilities
- Arrange and coordinate local and international travel for employees according to company Standard Operating Procedures.
- Verify accuracy and approval of travel requests, ensuring correct leave rotations and health protocols.
- Monitor passport validity and visa requirements for international travellers.
- Manage all ground and air travel bookings, including accommodation, car hires, and transfers.
- Facilitate visa applications and provide expert travel advice regarding prohibited substances and embassy protocols.
- Maintain and update traveller profiles with essential information such as passport copies, seating preferences, and frequent flyer details.
- Operate travel booking systems (Amadeus, MCM Travel) and troubleshoot related issues.
- Update daily flight schedule trackers and ensure traveller satisfaction with itineraries.
- Provide professional communication and customer service to all travellers.
Requirements
- Diploma in Travel and Tourism or a Communication qualification.
- Matric certificate.
- Minimum 7 years of experience as a travel consultant.
- At least 5 years of experience using Global Distribution Systems (GDS), preferably Amadeus certified.
- Strong knowledge of local and international travel arrangements and protocols.
- Experience in tourism or communication is advantageous.
- Proficiency in MS Word, Excel, and PowerPoint.
- Excellent interpersonal and problem-solving skills.
- Ability to work accurately under pressure and meet tight deadlines.
