    Purpose of the Legal Secretary Role

    The Legal Secretary for the High Court will support the legal services department by ensuring the seamless daily functioning of the office. This role is essential for maintaining the high standards and operational efficiency of the RAF’s legal department.

    Key Performance Areas

    As a Legal Secretary, you will be responsible for the following key areas:

    1. Legal Secretarial Administration

    • Prepare court statements and forms for attorneys.
    • Transcribe and proofread legal documents such as pleadings and affidavits.
    • Handle the indexing of pleadings and updating discovery binders.
    • Dictate attorneys’ audio files and written notes.
    • Assist with legal research and support in communicating with vendors, opposing counsel, experts, and other staff.
    • Collect and deliver important legal documents to and from necessary parties.

    2. Office Management

    • Manage correspondence, filing systems, and handle telephonic queries.
    • Ensure the confidentiality of all office matters and legal documents.
    • Provide general administrative support to the legal services department.
    • Manage stationery supplies and ensure all office requests are responded to within set timelines.

    3. Standard Processes and Procedures

    • Ensure all work aligns with internal RAF standards and contributes to business goals.
    • Maintain RAF’s required strategic frameworks and sound internal control processes.
    • Support strategy and reporting activities within RAF, adhering to policies and procedures.

    4. Document Control

    • Manage and maintain an updated filing system for all case-related documents.
    • Ensure proper tracking and recording of court documents and directives.
    • Handle the collation and updating of high-value foreign national records for reinsurance purposes.
    • Safeguard the confidentiality of all documents and ensure they reach the intended recipients in a timely manner.

    5. Meeting and Diary Management

    • Arrange and coordinate meetings on behalf of the Legal Services department.
    • Take minutes during meetings and distribute them according to governance standards.
    • Manage team diaries, schedule appointments, and follow up on meeting resolutions and pending matters.

    6. Quality Assurance

    • Maintain up-to-date documentation on RAF’s business activities and policies.
    • Ensure high-quality standards in all administrative tasks and legal processes.

    Requirements

    To be considered for this position, candidates must have the following:

    Educational Qualifications: A National Diploma in Business Administration or a Law-related qualification is required.

    Experience: At least two years of experience in a business or law administration environment.

    Technical and Behavioral Competencies:

    • Proficiency in MS Word, Excel, PowerPoint, and Outlook.
    • A good understanding of RAF systems and procedures.
    • Proficiency in English and one other official South African language.
    • Strong organizational and planning skills.
    • Excellent interpersonal relations, dependability, and trustworthy behavior.
    • Good research, writing, and communication skills.
    • Skills in diary and court roll management.
