    Duties:

    • Assist with scheduling, organizing, and administering short courses offered by the Department of Civil Engineering.
    • Act as the primary contact point for course participants and instructors, handling inquiries, providing course details, and ensuring clear communication on logistics.
    • Coordinate the registration process and handle all administrative aspects of event planning for various short courses.
    • Arrange travel arrangements and logistics for guest lecturers contributing to the short courses.
    • Coordinate the preparation and distribution of course materials, including handouts, instructional guides, and digital resources.
    • Maintain accurate records of course registrations, attendance, and completions, ensuring secure management and accessibility for reporting and analysis purposes.
    • Support invoicing, budget control, and expense tracking related to course administration.
    • Undertake additional administrative tasks as required to meet evolving departmental needs related to short course administration.

    Requirements:

    • Hold a post-matric qualification (NQF level 6 or higher) in finance, administration, or project management.
    • Possess a minimum of three years’ experience in financial administration, ideally within a higher education context.
    • Demonstrate proven experience in organizing short courses and familiarity with Stellenbosch University’s short course systems.
    • Exhibit excellent written and verbal communication skills in English.
    • Have strong interpersonal skills and organizational abilities.
    • Possess advanced computer literacy, including proficiency in word processing, spreadsheets, web navigation, and email management.

    Knowledge:

    • Familiarity and practical knowledge in student administration within an engineering, science, or technical research setting.
    • Relevant experience using Stellenbosch University’s financial systems.
    • Previous involvement in educational and event management environments would be beneficial and advantageous.
