Purpose of the Position
The Sponsorship Controller position supports the Events (Sponsorship) Controller and the Inland Advertising & Promotions Manager, ensuring seamless execution of events and sponsorship activities. The role focuses on driving SPAR’s brand visibility within local communities through structured sponsorship initiatives and active participation in community events. This role combines administrative and event management responsibilities, creating a diverse work environment that encourages hands-on involvement in brand-building activities.
Key Responsibilities and Duties
The Sponsorship Controller’s role is varied and requires effective multitasking to manage administrative tasks, event coordination, and relationship-building activities. Key responsibilities include:
- Administrative Support: Oversee administrative functions for the Sponsorship department, including documentation, record-keeping, and coordinating communications.
- Logistics Management: Arrange logistics for event venues, including booking locations, organizing catering, setting up necessary equipment, and overseeing vendor payments.
- Financial Coordination: Ensure timely and authorized processing of invoices and orders. This includes maintaining accurate documentation and originating purchase orders (POs).
- Event Registration and Tracking: Manage event registration and attendee records for effective tracking and reporting.
- Stock Control: Maintain stock control, conduct monthly stock-takes, and ensure that all inventory is adequately accounted for.
- Relationship Building: Develop and sustain strategic relationships with suppliers, retailers, and internal distribution centers (DCs) to facilitate smooth event operations.
- Event Coordination: Assist in planning and organizing SPAR-sponsored events, whether they are internal, community, or strategic. The Sponsorship Controller will serve as secondary support to the line manager, helping with retail and sporting events, internal functions, and other SPAR initiatives.
- Ad Hoc Duties: Be flexible to handle additional tasks and responsibilities as assigned by management to ensure smooth functioning of the Sponsorship department.
Minimum Requirements
Candidates applying for the Sponsorship Controller role should meet the following qualifications:
- Education: Matric or equivalent qualification.
- Experience: Proficiency with AS400/SSBU, SAP, and SharePoint systems is required.
- Technical Skills: Competency in MS Office (with intermediate Excel and PowerPoint skills) is essential.
- Communication Skills: Strong communication abilities and interpersonal skills are critical for effective teamwork and client interaction.
