Key Responsibilities
- Telephone Systems Management: Operate and manage a multi-line telephone system, fielding and routing calls with professionalism and efficiency. Maintain a rapid response rate, ensuring that all inquiries are addressed promptly and accurately.
- Training and Development: Conduct comprehensive training sessions for new staff members on the telephone system, ensuring they are well-versed in its functionality. Continually provide refresher training and updates to existing staff to keep skills sharp and information current.
- Contact Information Management: Rigorously maintain and regularly update the staff contact and telephone extension lists, ensuring that all information is accurate and accessible for efficient communication within the organization.
- Reception Area Oversight: Manage the organization and presentation of the reception area. This includes the arrangement of reading materials, the tidiness of the space, and the welcoming atmosphere for guests and employees.
- Parcel Tracking and Distribution: Take charge of the receipt and dispatch of all parcels and documents. Ensure meticulous recording and tracking of incoming and outgoing items, coordinating with courier services, and guaranteeing timely distribution to the correct recipients.
- Visitor Reception and Support: Greet and support all visitors with a hospitable and helpful demeanor. Ascertain their needs and direct them to the appropriate department or individual, providing an outstanding first impression of CETA.
- Inventory Management: Oversee the inventory of front office supplies, ensuring that stock levels are maintained and reordering supplies as necessary to avoid any shortages that could impact daily operations.
- Administrative Excellence: Perform various administrative tasks, including but not limited to scheduling appointments, updating information on bulletin boards, and ensuring that all operational procedures are followed in accordance with CETA policies and standards
