The Midstream branch in Pretoria is looking for a new team member who will contribute to maintaining the company’s high standards in client service and administrative efficiency.

    Key Responsibilities

    As a Receptionist and Admissions Clerk, you will be the first point of contact for patients, visitors, and clients. Your primary responsibilities will include:

    • Client Service: Maintain client service principles to ensure patient and visitor expectations are met with professionalism and empathy.
    • Switchboard Management: Efficiently manage the hospital telephone switchboard, ensuring all calls are handled promptly and directed to the appropriate department.
    • Client Interaction: Respond to client queries effectively and provide necessary information regarding admission procedures, required documentation, and appointment scheduling.
    • Daily Operations: Open the hospital each morning at 5:30-5:45 AM, welcoming clients, patients, and visitors.
    • Patient Admissions: Responsible for capturing pre-admissions and ensuring accurate admission and discharge of patients.
    • Payment Management: Handle payments at reception, ensuring all transactions are processed correctly and efficiently.
    • Medical Authorisations and Quotations: Assist patients in obtaining medical authorisations or quotations as required.
    • Billing and Administration: Finalize patient files, communicate with unit managers, registered nurses, and relevant doctors’ rooms regarding cancellations or additional patients.
    • Filing and Record Management: Manage patient files, including filing and arranging for the uplifting of files to Head Office as needed.
    • Equipment Maintenance: Maintain and care for photocopy machines, label printers, and computers in the reception area.
    • Banking and Administrative Support: Conduct monthly banking tasks and perform additional administrative duties as requested by the manager.

    Requirements

    To be successful in this role, candidates must meet the following requirements:

    • Education: A minimum of a Grade 12 qualification, with a relevant post-secondary qualification preferred.
    • Experience: 1-3 years of experience in a healthcare environment, particularly in patient administration.
    • Skills: Basic knowledge of Microsoft Office Suite, including Excel and Word, and familiarity with ICD-10 coding.
    • Flexibility: Willingness to work shifts as required by the facility.
    • Customer-Centric Approach: A strong customer-centered mindset that recognizes the value of excellent service.
    • Interpersonal Skills: Good interpersonal skills, with the ability to work well under pressure and manage front-line interactions.
    • Organizational Ability: Ability to plan, organize, and ensure tasks are completed efficiently.
    • Knowledge: Solid understanding and application of patient administration systems, policies, and procedures.
    • Additional Requirements: Must have own transport.
