    Personal Assistant Job Description

    Key Responsibilities

    The Personal Assistant role is critical in ensuring the smooth functioning of school operations. The primary responsibilities include:

    1. PA to Principal:

    • Coordinate the principal’s diary and manage scheduling efficiently.
    • Take minutes during confidential meetings with parents and ensure accurate records.
    • Serve as a communication liaison between the principal and parents.
    • Organize talent review meetings, including appraisal meetings.
    • Perform various other ad hoc duties as needed to support the principal.

    2. Function Coordination:

    • Coordinate school functions from start to finish, ensuring every detail is covered.
    • Manage catering arrangements, ensuring all requirements are met.
    • Request and manage comparative quotes, always working within budget constraints.
    • Assist in various other ad hoc duties related to event planning and coordination.

    3. General Office Management:

    • Oversee the reception desk and manage telephone communications.
    • Handle orders, deliveries, and stock-taking of staff stationery and refreshments.
    • Perform general office management tasks to ensure the office runs smoothly.

    4. School Administration:

    • Maintain the staff daily register with accuracy.
    • Coordinate the second-hand uniform shop, if applicable.
    • Organize school photographs and book school trips as needed.
    • Handle various other school administrative tasks to support school operations.

    5. HR Administration:

    • Support recruitment, selection, and onboarding processes for new staff.
    • Manage HR documentation and correspondence, ensuring accuracy and compliance with policies.
    • Maintain data integrity by ensuring all HR-related data is correctly processed and stored.
    • Assist in the performance management, talent review, and performance appraisal processes.
