Responsibilities of the Personal Assistant:

In this position, you will report directly to the Properties Executive or the Corporate Support Services Executive. Your role will be pivotal in ensuring the smooth operation of the executive office. Below are some of the key responsibilities you will undertake:

  1. Comprehensive Administrative Support:
    • Handle all incoming queries and manage calls professionally.
    • Provide top-tier client interaction with professionalism and efficiency.
  2. Diary and Meeting Management:
    • Organize and maintain executive diaries, schedule meetings, prepare itineraries, and collate all necessary information.
    • Ensure that meetings are arranged smoothly and that all required materials are prepared in advance.
  3. Documentation and Presentation Preparation:
    • Take accurate minutes during meetings and distribute them appropriately.
    • Draft, edit, and circulate various documents, ensuring accuracy and professionalism.
    • Prepare presentations based on verbal or written instructions and incorporate visual enhancements such as value-added graphics.
  4. Filing and Records Management:
    • Maintain a systematic and organized filing system for both digital and hardcopy documents.
    • Track and sign for documents received, ensuring a secure document trail.
  5. General Office Administration:
    • Perform a wide array of office and administrative duties that ensure the smooth running of the executive office.

Minimum Qualifications and Experience:

To be considered for this role, candidates should meet the following minimum requirements:

  1. Educational Requirements:
    • Matric (Grade 12) certificate.
    • A relevant Secretarial/Office Management qualification.
  2. Experience:
    • A minimum of 5 years of experience in a similar role, such as secretary, personal assistant, or office manager, with specific experience supporting senior management.
  3. Skills and Competencies:
    • Advanced computer proficiency in the MS Office suite (Excel, Word, PowerPoint, Outlook).
    • Strong knowledge of basic financial principles and processes.
    • Excellent typing skills, note-taking, and transcription abilities.
    • Superior communication skills, both verbal and written.
    • Ability to work independently and take initiative.
    • Strong organizational skills, attention to detail, and the ability to handle confidential information with discretion.
    • Outstanding interpersonal skills, including diplomacy, business etiquette, and customer service.
    • Excellent telephone etiquette and client service orientation.
    • Valid Code 08 Driver’s License.
