    Objectives:

    Employee Centric Delivery

    • Provide administrative support across the relevant People function, ensuring adherence to People policies and procedures.
    • Comply with legislative requirements pertinent to the role.
    • Immediately escalate concerns to maintain efficient workflow.
    • Coordinate resolution of queries within the People function, acting as a liaison with third parties.
    • Compile and update necessary documents.
    • Capture, load, and process documents on relevant systems.
    • Maintain filing systems and record all administrative activities for auditing purposes.
    • Utilize official templates and systems for correspondence and memos.
    • Update and maintain People data according to data standards.
    • Conduct general office and functional-specific administration tasks.
    • Capture and manage orders within the function’s relevant systems.
    • Receive and distribute stationery orders within the People function as required.
    • Monitor stock levels and initiate timely orders as necessary.
    • Liaise with external third parties as needed for People processes.
    • Screen incoming correspondence and prioritize tasks accordingly within the People function.
    • Participate in projects and ad hoc activities, such as onboarding new employees and compiling stakeholder lists.
    • Ensure work is completed in accordance with agreed-upon priorities and sequences.

    People (Self, Team & Organisational)

    • Collaborate with the People team to deliver solutions and services aligned with business needs.
    • Engage in team activities fostering an innovative, agile, and employee-centric culture.
    • Participate in activities promoting a wellness culture to support the team’s mental, physical, and emotional well-being.
    • Foster open and transparent communication within the team.

    Financial, Reporting & BI

    • Ensure accuracy in data input and relevant reports specific to the functional area.
    • Use official data sources to inform administrative outputs.
    • Assist in compiling basic reports for broader People team requirements.
    • Consolidate basic costs or data as required by the functional area.

    Governance & Compliance

    • Ensure compliance with labour relations frameworks and legislation.
    • Adhere to organizational and legislative governance standards, including health and safety requirements and the POPI Act.
    • Identify and mitigate functional team and administrative risks.

    Future-Fit

    • Integrate and facilitate effective workflow with other service areas and business units.
    • Identify opportunities for continuous improvement in administrative service delivery.
    • Recommend or propose ideas related to relevant administrative technologies as needed.

    Requirements:

    Qualifications:

    • Diploma in Administration or equivalent (preferred).
    • Grade 12, National Senior Certificate (required).

    Experience:

    • Minimum of 1 year in an administrative role with exposure to payroll (required).
    • Experience within the FMCG, retail sector, or similar industry (preferred).

    Knowledge and Skills:

    • Proficiency in SAP.
    • Familiarity with HR legislation.
    • Advanced skills in Excel.
