    Job Description

    As an intern in the OUTsurance Internships program, you will work within a diverse team, handling various tasks and responsibilities. You must be able to multitask, prioritize your duties, and work under pressure effectively.

    Eligibility Criteria:

    • Must be a South African citizen.
    • Should not have previously participated in an internship or learnership with INSETA.
    • Must be between the ages of 18 and 35.
    • Must have been unemployed for the last 2 months.
    • A BA in Business Administration or a BCom in Human Resources, Accounting, or a similar relevant field.
    • Proficiency in MS Office.
    • Advanced MS Excel skills (advantageous).

    Key Responsibilities

    • Scanning and Filing Documents: Organize and maintain both physical and electronic files to ensure easy retrieval and compliance with company policies.
    • Quality Checking Documents: Review and verify the accuracy and completeness of documents to ensure they meet the required standards.
    • Preparing Induction Packs and Assisting with Induction Processes: Compile materials for new employee inductions and assist in delivering induction sessions to ensure a smooth onboarding experience.
    • Checking and Signing Off Documents from HR and Other Departments: Ensure that all documents are properly authorized and meet the necessary compliance standards.
    • Monitoring the Payroll Counter: Assist employees with payroll-related inquiries and provide support to the payroll department as needed.
    • Capturing Staff Information: Enter and update staff information accurately in the payroll and HR systems.
    • Updating and Maintaining Employee Records: Ensure that all employee records are kept current and accurate, reflecting any changes in employment status or personal details.
    • Assisting in Creating Payroll Imports: Help prepare and verify payroll data for import into the payroll system to ensure timely and accurate payroll processing.
    • Managing UIF Application Forms and Communication: Process Unemployment Insurance Fund (UIF) applications and handle related communications to ensure compliance with statutory requirements.
    • Performing Ad Hoc Payroll Duties: Support the payroll team with various tasks as needed to ensure the smooth operation of payroll processes.
    • Preparing Resignation Packs: Compile and distribute resignation packs to departing employees, ensuring all necessary documentation is included.
    • General Administrative Duties: Provide general administrative support to the payroll and HR departments, including scheduling meetings, handling correspondence, and maintaining office supplies.
    • Assisting with Leave Management: Help track and manage employee leave records, ensuring accurate recording and compliance with company policies.
    • Supporting Training and Development Activities: Assist with organizing and coordinating training sessions, workshops, and other development activities for employees.
    • Participating in Team Meetings and Projects: Actively contribute to team meetings and participate in projects aimed at improving payroll and HR processes.
    • Handling Confidential Information: Ensure that all employee and company information is handled with the utmost confidentiality and in accordance with data protection regulations.
    • Providing Excellent Customer Service: Serve as a point of contact for employees, providing them with timely and accurate information and support regarding payroll and HR matters.
