A prestigious opportunity has emerged at the Public Protector South Africa for a Legal Secretary to join their team at the Head Office in Pretoria.     About the Role:

    The position of Legal Secretary is critical to the smooth functioning of the legal department. The successful candidate will be responsible for providing comprehensive secretarial support, managing office tasks, and coordinating high-level legal proceedings. A key aspect of this role includes coordination of High Court litigation, assisting with the drafting of legal documents, and ensuring the efficient management of legal files.

    Key Responsibilities:

    1. Secretarial Support:
      The Legal Secretary will coordinate the full litigation process from inception to completion, handling Dictaphone typing and assisting in preparing and processing legal documents. The candidate will maintain complex filing systems to ensure easy access to critical files and precedents and play a proactive role in managing various office tasks.
    2. Office Management:
      Efficient management of general office tasks is another key aspect of this position. This includes arranging unit-led functions, monitoring the ordering of unit stationery, managing travel arrangements, handling diary management, and ensuring effective communication with both internal and external stakeholders.
    3. Reporting and Administration:
      The candidate will assist in compiling weekly reports, handling legal administration requirements, managing monthly invoicing, and maintaining relationships with service providers and stakeholders. They will also assist in the management and monitoring of the team budget and track service provider invoices to ensure timely processing.
    4. Document Management and Communication:
      Ensuring clear communication, both in writing and verbally, is an essential part of the role. The Legal Secretary will independently handle written correspondence, prepare documents for meetings, and ensure the relevant information is always available to the legal team.
    5. Miscellaneous Duties:
      Additional responsibilities will include making appointments, following up on court dates and deadlines, and ensuring the smooth operation of the legal unit.

    Qualifications and Experience:

    • Education: A Degree, Diploma, or Certificate in Paralegal/Legal Secretarial qualifications is required. An LLB degree is advantageous.
    • Experience: A minimum of 3 years’ experience as a Legal Secretary within a law firm, preferably a large law firm, is essential.
    • Skills: Proficiency in Microsoft Office Suite and legal services practice management and billing systems is necessary. Candidates should have experience coordinating High Court litigation, motion, and action proceedings.
    • Other Requirements: A valid driver’s license is essential. Candidates must also have the ability to multitask, prioritise, and work under pressure.

A security clearance and vetting process will be conducted as part of the hiring process.
