    Intern Lease Administrator Job Description 

    As an Intern Lease Administrator, you will be responsible for various aspects of lease administration, ensuring that tenant records, deposit accounts, and lease fee accounts are accurately maintained. You will also help with the preparation of essential reports, summaries, and other clerical duties.

    Key Responsibilities

    1. Lease Administration

    • Tenant Account Management: You will be responsible for accurately updating and maintaining tenant accounts, including capturing lease fees and deposits, and ensuring that all records are current.
    • Lease Preparation & Termination: Draft and prepare lease agreements, amendments, and suretyships. Terminate tenant accounts as instructed and notify relevant departments of any changes.
    • Invoice Management: Arrange for the issuance of invoices to tenants for rental or deposit payments.
    • Document Management: Upload all relevant lease documents to the company’s BOL (Building Online) system and send the original lease agreements for archiving.

    2. Utility Management

    • Adjustments: Notify the utility company about tenant movements and make the necessary adjustments in electricity and water billing.
    • Meter Reading Notifications: Advise the meter readers of any tenant changes to ensure accurate billing.

    3. Communication and Coordination

    • Internal Communication: You will work closely with other departments, especially the property administration team, to ensure smooth coordination regarding tenant movement and other activities.
    • Management Support: Assist portfolio management personnel, attend management meetings, and take minutes. Keep management informed about lease activities and any arising issues.

    4. Reporting and Reconciliation

    • Lease Reports: Prepare and upload monthly leasing reports for the management packs, ensuring that all lease data is accurately reflected.
    • Executive Summaries: Compile monthly executive summaries for the leasing manager to review.
    • Deposit Reconciliation: Handle the reconciliation of tenant deposit accounts, including maintaining records of bank guarantees, additional deposits, and ensuring reports are up to date.
