Role Objective

As an Entry-Level Admin Assistant, you will play a crucial role in ensuring the smooth operation of our office. Your responsibilities will include managing documentation, organizing filing systems, performing general administrative duties, coordinating travel arrangements, scheduling appointments, and maintaining a professional environment.

Minimum Qualifications: 

  • Completion of Matric / Grade 12 education.
  • Proficiency in verbal and written communication.
  • Computer literacy, including competence in MS Office, Excel, and PowerPoint.
  • Strong interpersonal skills, fostering effective relationships.
  • Exceptional organizational abilities with the capacity to handle multiple projects concurrently.
  • Skill in prioritizing tasks effectively.

Duties & Responsibilities

  • Coordinate and schedule meetings for the GM, clients, management, and staff, ensuring efficient organization via email and phone.
  • Take accurate minutes during meetings as required and ensure timely distribution of agendas and minutes.
  • Type correspondence and ensure all outgoing documents are appropriately distributed.
  • Screen all documentation and correspondence for the GM, prioritize tasks, and gather necessary information from departments.
  • Manage incoming calls and screen inquiries for the General Manager.
  • Oversee fleet repairs and manage purchase orders effectively.
  • Provide telephonic assistance for resolving problems or complaints escalated to the General Manager.
  • Offer detailed feedback to clients as needed.
  • Arrange travel and accommodation for the General Manager and other managers within budget constraints.
  • Fulfill ad-hoc requests from the HOD and assist staff needing appointments with the GM.
  • Prepare commission claims and assist with payroll administration, including leave forms, applications, and reconciliations for the FSD.
  • Support the sales team in achieving their operational objectives.
  • Assist with general administrative duties for FSD staff.
  • Handle and respond to a high volume of emails promptly and efficiently.
  • Maintain comprehensive knowledge of Fidelity SecureDrive’s products and services and stay updated on changes.
  • Aid the team with any ad-hoc tasks that arise.
