Key Responsibilities of the Role
The Despatch Controller will play a critical role in overseeing the daily operations of the despatch department. This includes ensuring compliance with standard operating procedures (SOPs), effective management of sales processes, and fostering a well-coordinated and efficient workflow. Reporting directly to the Senior Despatch Controller, the successful candidate will manage various aspects of despatch operations, including but not limited to cash sales, damage control, loading and offloading of trucks, and meticulous record-keeping.
Core Duties
- Sales Management:
- Supervise cash and damage sales processes, ensuring compliance with company SOPs.
- Monitor and report on sales activities to maintain operational integrity.
- Truck Loading Oversight:
- Ensure trucks are loaded efficiently and according to SOPs.
- Manage operations to minimize delays and ensure timely dispatch.
- Returns and Damage Control:
- Manage the process for handling returns and damages, ensuring compliance with established protocols.
- Maintain accurate records for audit purposes.
- Crate Control and Reporting:
- Oversee the crate control process to ensure accurate reporting of stock.
- Analyze daily reports for discrepancies and resolve issues proactively.
- Cost Management:
- Assist in the preparation of the annual budget before the start of each financial year.
- Monitor expenses to ensure cost-efficiency and report deviations to management.
- Stock and Transactions:
- Conduct accurate stock counts after every shift, analyzing and reporting on variances.
- Reconcile production transfers and balance daily bread recon records.
- Present monthly KPI reports to senior management.
- People Management:
- Set daily objectives for the team to maximize productivity.
- Conduct weekly performance reviews, providing constructive feedback and taking necessary disciplinary actions.
- Recognize and reward outstanding performance.
- Lead formal performance reviews twice a year and plan team leave schedules effectively.
- Participate in recruitment and onboarding processes for new employees.
- General Responsibilities:
- Attend inter-departmental meetings and provide insights related to despatch operations.
- Ensure the despatch area is clean and organized at all times, reflecting the company’s commitment to safety and professionalism.
Minimum Requirements
Education and Qualifications:
- Matric (Grade 12)
- Tertiary qualification in Logistics or Supply Chain Management
Experience and Training:
- At least 5 years of supervisory or management experience in a distribution environment
- Experience in the FMCG (Fast-Moving Consumer Goods) sector
- Proficiency with JDE systems (preferred)
- Strong numeracy skills
- Advanced computer literacy, particularly in Excel and email applications
