Position Purpose:

  • Manage the telephone switchboard efficiently.
  • Maintain an organized database of telephone information.
  • Provide excellent customer service by answering calls, transferring them to the correct department, and taking accurate messages.
  • Ensure a welcoming environment for visitors and manage daily operations at the reception area.

Essential Functions and Basic Duties:

  1. Customer Service:
    • Handle 100% of telephone calls and visitors professionally and courteously.
    • Direct calls and inquiries to the appropriate departments or individuals.
    • Provide accurate information and take messages as needed.
  2. Reception Management:
    • Operate the telephone system and voicemail proficiently.
    • Assist visitors, clients, and staff at the reception desk.
    • Ensure the reception area is staffed at all times.
    • Manage boardroom bookings, ensuring room readiness and adherence to booking confirmations.
  3. Switchboard Operations:
    • Answer calls promptly and professionally.
    • Route emergency calls appropriately.
    • Maintain neatness in the switchboard and reception areas.
    • Handle complaints and forward them to the correct department.
  4. Reporting and Administration:
    • Prepare and submit monthly reports on switchboard and postage activities.
    • Follow organizational policies and procedures.
    • Perform clerical duties including typing, mailing, and courier handling.
  5. Operational Tasks:
    • Manage courier and post tasks efficiently.
    • Keep track of deliveries, handle outgoing mail, and maintain postal regulations knowledge.
    • Ensure a clean and organized work environment.
  6. Additional Duties:
    • Adhere to client processes and procedures.
    • Complete special tasks as assigned.

Qualifications:

  • Education/Certification:
    • Matric (Senior Certificate).
    • Certificate in Switchboard and Reception Management.
  • Required Knowledge:
    • Reception and switchboard management.
    • General administration.
    • MS Office proficiency.
  • Experience:
    • 3 years of relevant experience in reception and switchboard management.
    • 1-2 years of administrative assistant or secretarial experience.
    • Experience in boardroom management.
