Job Description

The Entry Level Administrator will provide administrative support to the Incub8 team at Assupol, ensuring smooth communication and coordination both within the group and with external stakeholders. Key responsibilities include:

1. Coordination of Intra-Group Departmental Communication

  • Liaise between managers, teams, and other departments within the Assupol Group.
  • Obtain and provide key statistical reports to and from stakeholders.
  • Support the Chief Executive Officer, Chief Operations Officer, and Executive Head: Business Development in facilitating operations and following up on reports.
  • Handle and screen all incoming communications and respond appropriately.
  • Coordinate internal communication with various teams.
  • Facilitate internal meetings with intra-group departments.

2. Coordination with External Stakeholders

  • Act as a key liaison officer between Incub8 and external stakeholders, including Cell Owner shareholders.
  • Obtain and provide key statistical reports to and from stakeholders.
  • Support executive management in facilitating communications with stakeholders.
  • Handle and screen incoming communications and facilitate responses.
  • Facilitate meetings with key external stakeholders.

3. Secretarial Duties and Administration

  • Manage the diary of the Chief Operations Officer and Executive Head: Business Development.
  • Assist in the preparation, management, and control of the departmental budget.
  • Prepare and consolidate statistical and performance reports.
  • Draft letters, prepare documentation, and distribute reports and memos.
  • Assist in planning, organizing, and coordinating company events.
  • Liaise with internal and external stakeholders, executives, directors, and committee members.
  • Organize internal and external meetings and prepare meeting packs.
  • Take and distribute minutes at meetings.
  • Make travel and accommodation arrangements.

4. General Office Administration

  • Maintain files and record-keeping systems (electronic and physical).
  • Ensure appropriate stationery for the office.
  • Log service desk requests to Facilities and IT departments.
  • Ensure payment of all service providers.
  • Assist with ad hoc duties.

Requirements

Formal Education

  • Matric
  • Undergraduate Degree, Diploma, and/or certificate

Technical/Legal Certification

  • Advanced MS Office skills (Outlook, Excel, Word, PowerPoint at Intermediate level)

Experience

  • 1 year of relevant experience
