Key Responsibilities
The Administrator: Board Secretary will be responsible for providing administrative support to the Board Secretary Office to ensure efficiency and compliance with MICTSETA policies. Below are some of the core duties:
1. Secretariat Coordination
- Provide effective administrative support to the Board Secretariat.
- Coordinate interactions between different departments, management, employees, and stakeholders.
- Maintain compliance with MICTSETA policies while securing efficient office operations.
- Process travel-related documents for Board members and Committees.
- Develop and maintain an effective filing system in compliance with approved policies.
- Keep information confidential and maintain a professional image.
- Ensure compliance with health and safety regulations.
- Plan and manage annual programmes, venues, and logistics for Board meetings.
- Prepare Annual Attendance Reports for Board and Committee meetings.
2. Secretariat Support
- Assist the Assistant Board Secretary in creating the Annual Governance Calendar.
- Draft minutes, manage the Board Secretary’s diary, and arrange meetings.
- Coordinate travel arrangements, visas, and itineraries for Board members.
- Ensure all documents are formatted to professional standards.
- Coordinate logistics for Board and Committee meetings, including catering and equipment booking.
- Follow up on meeting resolutions and deliverables.
3. Corporate Governance, Risk, and Compliance
- Ensure that deadlines for organizational submissions and reports are met.
- Support auditors by collecting necessary documentation.
- Maintain quality risk management standards in line with governance requirements.
- Adhere to Standard Operating Procedures (SOPs) and relevant laws and policies.
4. Client Relations
- Respond to customer queries within set timelines.
- Assess client needs and ensure their concerns are addressed.
- Arrange functions and handle guest relations.
- Assist with refreshments and hospitality for meetings.
5. Financial Administration
- Process Board members’ payments for Finance within set deadlines.
- Support budgeting and bookkeeping procedures.
- Verify Committee members’ remuneration, claims, and travel costs.
- Ensure all expenses are within the approved budget.
- Oversee venue bookings, accommodation, flights, and logistics for meetings.
6. Document Management & Record Keeping
- Ensure that Board Secretary Office (BSO) documents are correctly filed.
- Maintain an updated electronic and hard copy filing system.
- Extract meeting packs and keep records for future reference.
Minimum Requirements
To qualify for the Administrator Board Secretary Job Opportunity at MICTSETA, candidates must meet the following requirements:
- Matric/Grade 12.
- NQF Level 6 Qualification in Legal Secretariat, Public Administration, or equivalent.
- Minimum three (3) years of secretarial experience.
- Excellent communication and interpersonal skills.
- Strong organizational and leadership abilities.
- Familiarity with office management procedures and accounting principles.
- Advanced Microsoft Excel and PowerPoint skills.
- Flexibility to work long hours if required.
- Valid driver’s license.
Added Advantage
- LLB/NQF Level 7 Qualification in BCom Law, CIS, or Public Administration.
- Experience working in a Company Secretariat Department.
- Strong presentation skills to communicate ideas effectively.
