Purpose of the Role
The primary responsibility of the Administrative Assistant will be to offer day-to-day administrative support to the Adjudication department. This support ensures that internal processes run smoothly, efficiently, and within compliance frameworks, thereby allowing RAF to serve claimants more effectively.
Key Performance Areas
The role encompasses a variety of responsibilities that are critical to the smooth functioning of the Claims Division.
1. Compliance Administration
Successful candidates will be expected to maintain up-to-date documentation aligned with departmental activities, ensure strict adherence to internal control policies, and keep abreast of evolving standards and business goals. They play a key role in ensuring compliance and maintaining the integrity of internal processes.
2. Office Coordination
Administrative Assistants are central to office operations. They will assist in following up on unresolved matters, manage and respond to requests within designated timeframes, ensure availability of office supplies like stationery, and validate documents submitted for capturing. Other tasks include tracking document statuses, allocating reference numbers, capturing documents on systems, and distributing responsibilities across the team. Additionally, they will be tasked with drafting official correspondence for stakeholders.
3. Meeting Support
This function includes arranging departmental meetings, taking and distributing minutes as per governance standards, and ensuring outstanding issues are recorded and tracked. Maintaining a structured follow-up plan for meeting resolutions and confirming meeting schedules with both internal and external stakeholders will also be essential duties.
4. Document and Records Management
Candidates must administer records and filing processes according to the RAF’s established filing plan. The role requires maintaining an up-to-date filing system, retrieving information upon request, and safeguarding the confidentiality of all documents. Proper data capturing and filing, along with the allocation of file numbers, form part of the daily duties.
Required Qualifications and Experience
Applicants must hold a Matric or Grade 12 certificate and should possess at least one year of experience in an administrative or similar environment. This makes the opportunity ideal for young professionals looking to grow their careers within a meaningful and stable organisation.
