    Administrative Assistant Job Description

    As an Administrative Assistant, your primary responsibility will be to provide administrative support to the People Management/Human Capital Department. This includes ensuring adherence to compliance standards, managing office coordination tasks, facilitating meetings, and maintaining accurate document and records management processes.

    Key Responsibilities

    1. Compliance Administration

    • Maintain accurate documentation of departmental activities.
    • Ensure all processes align with the organization’s policies and compliance standards.
    • Stay updated with internal controls and business goals.

    2. Office Coordination

    • Follow up on pending tasks and requests.
    • Respond promptly to all inquiries and requests.
    • Ensure availability and distribution of office supplies and stationery.
    • Validate and verify submitted documents for accurate capturing.
    • Manage systems/registers and allocate reference numbers accurately.
    • Draft and send letters to relevant stakeholders.

    3. Meeting Support

    • Schedule and confirm meetings for the department.
    • Take and distribute meeting minutes according to governance standards.
    • Track and follow up on unresolved matters from meetings.
    • Manage team diaries and stakeholder appointments.

    4. Document and Records Management

    • Oversee the filing and records management process in line with RAF policies.
    • Ensure confidentiality of all documents under control.

    Qualifications and Experience

    Educational Requirements:

    • Matric or Grade 12 certificate.

    Experience:

    • At least 1 year of experience in People Management, Human Capital, or a similar environment.
