Job Overview
This role is designed to support the Finance & SCM Business Unit by managing travel arrangements, financial processes, and various administrative tasks. The Administrative Assistant – Travel will play a pivotal role in ensuring that all travel arrangements align with Treasury regulations and organizational policies.
Key Responsibilities
The primary duties and responsibilities of this position include, but are not limited to, the following:
- Liaise with Employees on Travel Requirements:
Facilitate communication with employees to gather details and preferences for travel arrangements, ensuring that bookings comply with cost containment Treasury regulations. - Prepare Monthly Creditor Reconciliations:
Maintain up-to-date and accurate records by preparing monthly reconciliations for creditors, ensuring consistency and accuracy in financial documentation. - File Source Documents:
Organize and file source documents onto the creditor’s files for easy retrieval and reference. - Process Claims and Payments:
Receive and process claims from employees, preparing request forms for payments to ensure timely settlements. - Assist with Travel Arrangements:
Handle booking airfares, car rentals, and accommodation, making sure that all bookings are within the guidelines of the organization’s policies and Treasury regulations. - Audit Assistance:
Help in resolving audit queries by providing necessary information and documentation as requested by auditors. - Advisory Role:
Offer advisory services to end-users on contract-related matters to facilitate smooth procurement and financial processes. - Other Duties as Assigned:
Support the Finance Manager with any other delegated tasks to contribute to the overall efficiency and functionality of the Finance and SCM Business Unit.
Requirements and Qualifications
To be eligible for the position, applicants must meet the following criteria:
Minimum Requirements:
- Senior Certificate with Accounting as a subject or an equivalent qualification.
Preferred Qualifications:
- Post-matric certificate in Financial Management or an equivalent qualification in a finance-related course.
Additional Skills:
- Computer Literacy: Proficiency in Internet usage, Microsoft Word, Excel, and PowerPoint.
- Basic Bookkeeping Skills to manage financial records effectively.
- Knowledge of Public Finance Management Act (PFMA), Treasury Regulations, budgeting, and expenditure control.
- Familiarity with procurement prescripts and administrative procedures.
- Ability to interpret organizational policies and apply them effectively in a work environment.
Personal Attributes:
- Attention to detail to ensure accuracy in financial documentation.
- Ability to work under pressure and meet deadlines.
- Strong communication skills to liaise with employees and stakeholders.
- Ability to provide advisory support on contract-related matters.
