    Admin Officer Job Purpose

    As an Admin Officer at Joburg Parks and Zoo, your primary responsibility will be to provide administrative and secretarial support to the Manager. Your role will involve handling a variety of tasks that ensure the smooth functioning of the office, including report collation, office management, and communication with stakeholders.

    Key Responsibilities

    Your role will encompass a wide range of duties, ensuring that no two days are the same. Below are some of the key performance areas you will be responsible for:

    • Visitor Management: Welcoming and tending to visitors who have meetings with the Manager.
    • Diary Management: Organizing and maintaining the Manager’s schedule, ensuring efficient time management.
    • Communication: Managing incoming calls, emails, faxes, and post, and often corresponding on behalf of the Manager.
    • Document Management: Executing the typing, distribution, and filing of documents while ensuring all records are well-maintained.
    • Meeting Coordination: Booking boardrooms, scheduling meetings, and organizing catering and transport arrangements as required.
    • Event Coordination: Organizing and coordinating special activities such as interviews, workshops, and wellness events.
    • Stakeholder Liaison: Coordinating with various stakeholders to follow up on actions post-meetings.
    • Office Supplies Management: Ensuring the office is stocked with necessary supplies, managing petty cash, and initiating procurement processes.
    • Report Preparation: Compiling and checking the grammar and formatting of reports, producing documents, brief papers, and presentations as needed.
    • Confidentiality: Maintaining the confidentiality of all reports and support provided to the Manager.

    Minimum Requirements

    To be considered for this role, you must meet the following minimum requirements:

    • Education: Matric/Grade 12, plus a Diploma in Secretarial/Admin or an equivalent NQF level 5 qualification.
    • Experience: 2 to 3 years of general administration experience.
    • Skills & Knowledge:

      • Diary management experience
      • Knowledge and application of the Municipal Finance Management Act (MFMA)
      • Excellent report writing and editing skills
